Closing Your Show (Archive & Pay Out)
Finish your show, reconcile the money collected on site, and submit the show's online proceeds for payout.
About 4 minutes ยท Reviewed for EZSM 5.2.539Why payout happens after the show
EZ Show Manager waits until the show is finished and you close it before beginning payout. This allows an eligible entry to receive a full refund back to the original credit card while the show's online funds are still available.
If you need to make only a partial refund, work with your club treasury to issue a check or provide cash on show day.
1. Finish the show-day work
Before closing the show, make sure the event is truly finished:
- Enter and review all final results.
- Resolve any remaining Pending Entries and full-refund requests.
- Confirm that the public Results Page shows the information you expect.
- Make any remaining show-day corrections.
Archiving marks the show complete and starts the payout review process. EZ Show Manager disables archiving while added-class requests or refund requests still require action.
2. Review your totals
From My Dashboard, open Show Manager, expand the show's card, and review:
- Entry Total: the online entry money collected for the show.
- Refunds: full refunds already returned through the online refund process.
- Payout: the show's expected online payout.
- Cash Box: the walk-in and add/drop money collected or refunded on site.
Reconcile the displayed Cash Box total with the money physically collected by your show team. Cash Box money is already in your possession and is not included in the Stripe payout. More detailed financial information is available under My Reports.
3. Select Archive & Pay Me
- Select Archive & Pay Me on the Show Manager Show Card. The same action also appears as Archive & PayOut in the More... menu.
- Read the confirmation message.
- Confirm that you want to mark the show complete and initiate payout.
What happens next
- The show is marked Complete.
- It leaves Open Shows and appears under Archived Shows.
- The payout changes to Ready for Payout while it is reviewed.
- Eligible online orders connected to the show are completed.
- After the payout is sent, its status and payout date are recorded.
You can review the show's payout status under My Reports. The archived Show Manager Show Card also keeps the final Entry Total, Refunds, and Payout available for reference.
How the money reaches your bank
EZ Show Manager sends the approved payout to the Stripe account you connected for direct deposit. Stripe then deposits the funds into the bank account connected to that Stripe account. Bank availability and timing can vary while Stripe processes the transfer.
Your archived show is still useful
Archiving does not delete the show. From Archived Shows, you can review its totals, control whether it remains on the public results list, clone it as the starting point for another show, or reopen it when needed.
