Entry Modifications

Understand how exhibitors request changes while entries are open, review each request in the Secretary Dashboard, and apply approved changes to the original entry.

What exhibitors can change

While entries are still open for a Division/Class show, an exhibitor can open My Dashboard → My Shows → More… → Modify Entry and request:

  • A different saved horse
  • Additional classes or divisions
  • Removal of classes or divisions
  • A switch from one class or division to another
  • A horse change and class or division changes in the same request

The replacement horse must already be saved under the exhibitor's My Horses page. Only one change request can be in progress for an entry at a time.

The original entry is not changed immediately

The request remains separate until payment is completed when required and the Show Secretary approves it.

When the modification option is available

Exhibitors can submit online changes only through the show's Entry Close Date. Once entries close, Modify Entry is unavailable and the exhibitor is directed to contact the Show Secretary.

Changes requested after entries close are handled directly by the show team. The Secretary Office Add/Drop tools remain available for appropriate day-of-show class or division changes.

What happens when the price changes

  • Higher total: the exhibitor checks out for only the additional balance. The request appears for approval after that payment is completed.
  • No price change: no checkout is required. The request is submitted directly for secretary approval, and the exhibitor receives a branded confirmation email.
  • Lower total: no card refund is issued during modification. Approval creates a cash/check refund due for the show to give the exhibitor.
  • Existing unpaid refund: if the exhibitor later adds something, the unpaid refund is applied first and only the remaining positive difference is charged.

Find requests in the Secretary Dashboard

Completed requests appear in their own Entry Changes Pending section. Each row is a separate modification request connected to the original entry.

The table shows:

  • Competitor: the entrant and entry number, when assigned.
  • Horse Change: the original and requested horse, or confirmation that the horse is unchanged.
  • Class / Division Changes: separate lists of everything being added and removed.
  • Order: the additional order number or No payment required.
  • Difference: the amount paid, refund credit used, cash/check refund due, or a zero balance.
  • Actions: Approve Change and either Refund or Decline Change.
Review horse, class, and division changes together with their order and balance information before approving or declining the request.

Review a modification

  1. Confirm that the row belongs to the correct competitor and original entry.
  2. Review the Horse Change column, including both horses when a swap was requested.
  3. Review every addition and removal under Class / Division Changes.
  4. Confirm the order and difference information matches the request.
  5. If the original entry is still pending, approve that original entry first.
  6. Select Approve Change when the complete request is acceptable.
Approve the request as one complete change

A combined request can contain both a horse swap and class or division changes. Review both columns before approving because Approve Change applies every part of that row.

What approval updates

Approving the request updates the exhibitor's existing active entry rather than creating a duplicate entry. Depending on the request, EZ Show Manager:

  • Adds and removes the requested classes or divisions.
  • Replaces the horse shown on the entry.
  • Attaches the replacement horse's current saved documents.
  • Resets the paper-reviewed document checks so the replacement horse's records can be reviewed.
  • Preserves the entry number and other information connected to the original entry.
  • Displays any lower-price difference on the entry card as Refund Due: $[amount] cash/check.

After approval, confirm that the competitor appears under the correct classes in Active Entries. Open the competitor's entry card when you need to review transferred horse documents or the refund status.

Complete a cash/check refund

When approval produces a refund, the entry card displays a checkbox followed by Refund Due: $[amount] cash/check. After the money has been given to the exhibitor, select the checkbox. The label changes to Refund Paid: $[amount].

If that refund is being used as credit toward another pending modification, it cannot be marked paid until the pending request is resolved.

Show the approved entry modification and the cash/check Refund Due checkbox on the competitor's entry card.

Decline or refund a request

  • Decline Change: use this when no additional payment was collected. The requested changes are not applied to the entry.
  • Refund: use this when the exhibitor paid for the modification but the request should not be approved. The full additional purchase is refunded to the original card, less processing fees.

Declining or refunding a modification leaves the original entry unchanged.
