Payment Processing Overview
EZ Show Manager provides online entry, checkout, reporting, and payout tools for show managers and competitors. Payments are collected through the site checkout using WooCommerce and the payment methods enabled for the event. Card and wallet payments may be processed by Stripe, WooCommerce, or another approved payment provider.
A competitor's order may include the show entry fee, class or division fees, clinic selections, required or optional add-ons, taxes where applicable, and an EZ Show Manager service fee. The underlying show, clinic, or activity is offered by the show manager or organizing entity listed on the event page.
EZ Show Manager does not store full credit card numbers or bank account credentials on the site. Payment credentials and connected payout account details are handled by the applicable payment processor.
Competitor Payments
Competitors must submit accurate entry and billing information before checkout. An entry is not considered paid until checkout is completed and the order is accepted by the payment processor.
The EZ Show Manager service fee is charged per online entry and is retained by EZ Show Manager for platform access, entry management, checkout handling, dashboards, support tools, and recordkeeping. This fee is non-refundable unless EZ Show Manager determines otherwise in its sole discretion.
The service fee can vary by show package or activity type. The lowest standard package fee currently configured in the platform is $5.00 per entry, and the exact amount shown at checkout controls.
Competitors are responsible for reviewing the event details, show manager refund rules, closing dates, required documents, waiver language, and total order amount before submitting payment.
Show Manager Payments & Payouts
Show managers are responsible for creating accurate event listings, setting entry prices, identifying required fees or add-ons, communicating event-specific refund rules, and resolving participant questions about the activity they manage.
EZ Show Manager tracks gross collected amounts, retained EZ Show Manager service fees, payment processing costs, taxes where enabled, walk-in or add/drop cash adjustments, invoices, and payout status. Payouts may be sent by Stripe direct deposit or another payout method supported by the site administrator.
A payout may be delayed, reduced, held, or adjusted when an event has open refunds, unpaid balances, chargebacks, processor holds, missing payout information, suspected fraud, tax or compliance issues, or other unresolved financial activity.
Refunds, Scratches & Cancellations
Refund eligibility is determined first by the event-specific refund policy published or communicated by the show manager. Competitors should contact the show manager or event secretary with refund questions before filing a payment dispute.
When a paid entry is scratched, declined, cancelled, or otherwise approved for refund, EZ Show Manager may flag the entry for review in the refund queue. The refund is then processed through the original WooCommerce order and payment processor when possible.
Unless an exception is approved by EZ Show Manager, refunds exclude the EZ Show Manager service fee. The recommended refund amount is the paid order total minus the non-refundable EZ Show Manager service fee and any other non-refundable amounts disclosed for the event.
Once a refund is processed, competitors should allow 5-10 business days for the refund to appear on their card or bank statement. Actual timing depends on the payment processor and the competitor's financial institution.
Cash, check, walk-in, or off-platform payments must be refunded directly by the show manager or organizing entity. EZ Show Manager may record those adjustments for reporting, but it cannot reverse funds it did not process.
Disputes, Chargebacks & Account Holds
Competitors agree to contact the show manager or EZ Show Manager support before initiating a chargeback whenever possible. Chargebacks can delay refunds, delay manager payouts, and create additional processor fees.
Show managers agree to provide requested records, entry details, cancellation communications, refund decisions, and event documentation needed to respond to payment disputes. EZ Show Manager may recover chargeback amounts, processor fees, administrative costs, or unpaid balances from future payouts or by other lawful means.
EZ Show Manager may suspend checkout, refund, payout, or account access when required to protect users, comply with processor rules, respond to suspected misuse, or resolve unpaid financial obligations.
